Fleet documents and downtime

With the Vehicles module, each real vehicle of the fleet has its record (Vehicles → Fleet « Véhicules → Parc véhicules »), with six tabs. Record (« Fiche »): name, make, model, type, registration number, serial number, colour, year, seats, mileage, first registration date, status (In service, Off the road, Off fleet: « En service », « Immobilisé », « Hors parc »). Photos (« Photos »): the photos offered at the Options step of the quote wizard. Documents (« Documents »): registration certificate, roadworthiness test and insurance. Click Add (« Ajouter ») the first time, then New version (« Nouvelle version ») at each renewal: reference, issue and expiry dates, file (PDF, JPG or PNG, 8 MB maximum). The most recent version becomes the current version, the previous ones remain available. Movyx reminds you 15, 10 and 3 days before the expiry date, then every day once the date is reached. Damage (« Dégâts »): Report damage (« Déclarer un dégât ») with its area, its severity (Minor, Medium, Major: « Léger », « Moyen », « Important »), its status (To deal with, Quote in progress, Repaired, Accepted as is: « À traiter », « Devis en cours », « Réparé », « Accepté en l'état »), its cost, a photo. Setting damage to Repaired records its repair date. Inspection reports (« États des lieux »): the Inspection report button (« État des lieux ») generates a departure or return document with the vehicle diagram in four views, to print and have signed. Downtime (« Immobilisations »): from the tab or the planning (Vehicles → « Immobilisations »), click the vehicle or select cells, then choose the reason (Garage / bodywork, Routine servicing, Roadworthiness test, Cleaning / detailing, Other: « Garage / carrosserie », « Entretien périodique », « Contrôle technique », « Nettoyage / esthétique », « Autre »), the dates, the provider and the cost. During the period, the vehicle is shown as Off the road and a notification goes out the day before.
