Movyx Help Centre

Movyx User Guide

Every screen in your workspace, explained step by step: from initial setup to billing, through pricing grids, quotes, the CRM, job planning, drivers and the fleet.

Getting started

Your Movyx workspace opens from movyx.fr with your email, or from its own login page bearing your logo. Here is how to sign in for the first time and what awaits you.

1Activate your account and log in

Login page of a Movyx workspace, with the company logo, the email and password fields
Your workspace's login page, in your name and with your logo.
  1. Trial created from the website: your workspace opens as soon as you send the form, with the password you chose. An email confirms your workspace's login address. Workspace opened by the Movyx team: the welcome email contains an activation link where you choose your password. No password is ever sent by email.
  2. Then click Log in (« Connexion ») at the top of movyx.fr (movyx.fr/connexion) and enter your email and password: your email is enough to find your workspace. The page with your logo (movyx.fr/limo/votre-societe/login) remains available. Tick Remember me (« Se souvenir de moi ») on your usual computer.
  3. Forgotten your password? The Forgotten password? (« Mot de passe oublié ? ») link sends a reset link to your email address.
During the trial, a sample grid (Paris, Côte d'Azur) lets you create a first quote straight away, and the Free setup (« Paramétrage offert ») button on the dashboard lets you pick a time slot: we call you and configure your account with you, your rates included.
During the demo, you have full access: you set up your workspace and create your quotes just like a client. Modules and seats are shown for information only; the first payment is only taken at the end of the trial, once the subscription has been taken out.

2Follow the guided tour

On your first login, a guided tour presents the screens in setup order: vehicle types, cities and places, pricing grid, first contact, then the optional settings. You can leave it at any time and restart it from the ? button at the bottom right (Help centre → Guided tour, « Visite guidée »).

Every menu entry and most buttons carry a tooltip: leave the mouse over an item for a second (or long-press on a phone) to read what it is for.

3The recommended order to get started

  1. Vehicle types: your categories (saloon, van, SUV…), which become the columns of your grids.
  2. Cities & places: the cities, airports, stations and hotels you serve.
  3. Pricing grid: your rates per route and per vehicle, entered by hand or set up with the Movyx team when you start.
  4. First contact: an agency or a direct client.
  5. Then, at your own pace: the design, the quote template, the cancellation terms and the waiting time.

As soon as the first four steps are done, the Create a quote (« Créer un devis ») button in the menu unlocks.

Finding your way around

The side menu, the top bar and the help button are on every page.

1The side menu

On the left, the Create a quote (« Créer un devis ») button, then the sections: Dashboard (« Tableau de bord »), Quotes (« Devis »), Drivers (« Chauffeurs »), Vehicles (« Véhicules »), Clients (« Clients »), Rates (« Tarifs »), Modules & options (« Modules & options ») and Settings (« Paramètres »). A section that contains several pages (Drivers, Vehicles, Clients, Modules & options, Settings) unfolds when you click it. A red dot flags whatever is waiting for an action (absence request to approve, recommended setting not done).

The arrow at the top of the menu collapses it to its icons to save space; the labels reappear on hover. On a phone, the menu becomes a tab bar at the bottom of the screen.

2The top bar: theme, notifications, account

Drop-down menu of the notification bell: alerts for expired documents and overdue follow-ups
The bell: alerts (documents, deadlines) and follow-ups, with a shortcut to each page.
Account menu open at the top right: My account, Billing, Contact support, My requests, Log out
Your account menu: profile, billing, support, legal pages and logout.
  • Sun / moon: switches between the light theme and the dark theme. The choice is remembered on your device and only affects your own display.
  • Bell: your alerts (expired documents or documents to renew, requests to approve, rates to fill in). The red counter shows what is still to be dealt with; All my notifications (« Toutes mes notifications ») opens the full page.
  • Your avatar: My account (« Mon compte »), Billing (« Facturation », administrators), Contact support (« Contacter le support »), My requests (« Mes demandes »), the legal pages and Log out (« Se déconnecter »).

3The “?” help button

Help centre opened from the ? button: Documentation, Contact support, Guided tour
The Help centre, available on every page: this guide, support and the guided tour.

At the bottom right of every screen, the ? button opens the Help centre (« Centre d'aide »): this guide (Documentation), the Contact support (« Contacter le support ») form (reply within 24 business hours) and the Guided tour (« Visite guidée »).

Setting up your workspace

The Settings (« Paramètres ») page gathers everything you set once, and tells you where you stand.

1Reading the Settings page

Movyx Settings page: setup gauge at 100%, Your offer, Your quotes and Your image blocks
Settings: the gauge (4 essential steps, 4 recommended) and direct access to each setting.
  • The gauge at the top counts the essential steps (vehicle types, cities & places, pricing grid, first contact) and the recommended steps (design, quote template, cancellation terms, quote closing). The button on the right takes you straight to the next step.
  • Your offer (« Votre offre »): Vehicle types, Cities & places, Pricing grids, with the number of items already created.
  • Your quotes (« Vos devis »): Quote template, Cancellation terms, Waiting time.
  • Your image (« Votre image »): Application design (logo, colour, components).

Users, modules and billing are found under Modules & options.

2Finishing the recommended settings from the dashboard

Customise window of the dashboard listing the remaining optional settings
The dashboard's Customise button reminds you of the optional settings you still have to do.

On the dashboard, the Customise (« Personnaliser ») button shows the number of recommended settings not yet done and opens the list. Each line leads to the relevant screen. Once everything is set, the button disappears.

Vehicle types, cities & places

The two reference lists used by your pricing grids, your quotes and your fleet. They are found in Settings (« Paramètres »).

1Creating a vehicle type

Vehicle types page: six cards (Mercedes E-Class, S-Class, V-Class, Maybach, Range Rover) with seats, luggage and category
Vehicle types: one card per category, with seats, luggage and status.
New vehicle type form: FR and EN name, make, image, category, seats, luggage, description, status
A type's form: name in French and in English, make, image, category, capacity.
  1. Open Settings → Vehicle types (« Paramètres → Types de véhicules ») then click New type (« Nouveau type »).
  2. Fill in the French name (required) and, if you create quotes in English, the English name.
  3. Choose the make (create it if needed with Add a make, « Ajouter une marque »), an optional image (JPG, PNG or WebP, 8 MB maximum, shown on the type's card and offered as a photo on your quotes), the category (Saloon, Van, SUV, Minibus, Luxury…), the number of seats, the small bags and the large suitcases.
  4. Add a description if you wish, leave the status as Active (« Actif »), then Save (« Enregistrer »).

The pencil on a card edits the type; the bin deletes it if it is not used anywhere. A type set to Inactive (« Inactif ») stays visible in the history but is no longer offered in new grids or in the quote wizard.

The Add a vehicle (« Ajouter un véhicule ») button on this page creates a real vehicle in your fleet (Vehicles module) directly from a type.
If you create a type after your grids, the bell reminds you that it has no rate yet in each of them, until you fill it in.

2Adding a city

Cities & Places page: city, place and airport counters, Cities tab with country, time zone and number of places
Cities & Places: the Cities tab, with the country, the time zone and the number of attached places.
Add a city form: FR and EN name, country, ISO code, time zone, status
Add a city: name, country, ISO code and time zone.
  1. Open Settings → Cities & places (« Paramètres → Villes & lieux ») and click A city (« Une ville », Add block at the top right).
  2. Enter the French name, the English name if needed, the country; the ISO code and the time zone are filled in from the country.
  3. Save (« Enregistrer »). The city is immediately offered as a departure or arrival in your grids and your quotes.

3Adding a place (airport, station, hotel, address)

Places tab: airports with their IATA code, filters Airports, Stations, Hotels, Ports, Private, Public, Other
The Places tab: each airport carries its IATA code, the filters sort by type.
Add a place form: FR and EN name, type, attached city, status, full address, latitude and longitude
Add a place: type, attached city, address and coordinates.
  1. Click A place (« Un lieu », Add block).
  2. Give it a name (French, and English if needed), its type (airport, station, hotel, port, private place, public place, other) and the attached city.
  3. Add the full address; latitude and longitude are optional. An airport can carry an IATA code (CDG, NCE…): you then find it by typing those three letters in the quote wizard.
  4. Save.

The search at the top of the tab accepts a place name, a city or an IATA code. The pencil edits a place, the bin deletes it; a place used by a grid is kept in quotes already created.

Pricing grids

Your transfer and hourly hire rates. A grid reads like a spreadsheet: vehicles in columns, routes in rows. It is what calculates the price of every quote.

1The list of grids

Pricing grids page: counters, card of the Paris 2026 grid with its badges, Seasons & Events block
Rates: your grids sorted by type, and the Seasons & Events block shared by all of them.

The Rates (« Tarifs ») page lists your grids with their type (net rate or public rate), their currency, the number of vehicles and contacts attached, their validity period and their status. The four icons on the right of a grid let you deactivate or reactivate it, duplicate it, export it to Excel and delete it. At the top, New grid (« Nouvelle grille ») creates one.

2Creating a grid

New pricing grid form: name, Net rate or Public rate type, currency, visibility, validity period, grid active
New grid: the name, the rate type, the currency and the validity period.
  1. In Rates, click New grid.
  2. Name it (for example “Côte d'Azur 2026”) and choose its type: Net rate (« Tarif net ») for your partners (agencies, referral partners), Public rate (« Tarif public ») for your direct clientele. This type is used to sort your grids; in both cases the quote shows the grid's rate as it is, and an agency's commission is deducted from it, never added.
  3. Choose the currency and the visibility: a private grid is reserved for the contacts you attach to it.
  4. If needed, give a validity period (for information only: a grid whose end date has passed is flagged as expired (« Expirée »); it is up to you to deactivate it when the next one is ready).
  5. Leave Grid active (« Grille active ») ticked so that it is offered in new quotes, then Create the grid (« Créer la grille »).

3Organising the grid into sections

Grid editor: Airport & station transfers and Long-distance transfers sections, vehicles in columns, price per cell
The editor: each section has its route rows, your vehicle types form the columns.
New section window with its Title field
A section = a title; you rename and reorder them freely.
  1. Open the grid. At the top right, click Section (« Section ») or, at the bottom of the grid, Add a section (« Ajouter une section »).
  2. Give it a title: “Airport transfers”, “Station transfers”, “Long distance”… then Create (« Créer »).
  3. Each section has its own Rename (« Renommer ») and Condition (« Condition ») buttons and bin. The handle to the left of the title lets you move it.

The columns match your vehicle types. The + button to the right of the header adds a column for a type the grid does not cover yet.

4Adding a route row

New row in a section with the drop-down search list for a departure place
Add a row: choose the departure then the arrival from the list of your cities and places.
  1. Below the section, click Add a row (« Ajouter une ligne »).
  2. Click in Departure (« Départ ») and choose a city or a place from the list (the search filters as you type), then do the same for Arrival (« Arrivée »).
  3. Then fill in the row's prices, cell by cell (next step). A row whose cells stay empty generates no price.

5Entering a price or “On request”

Entry popover for a grid cell: amount, On request switch, Cancel and Save buttons
A click on a cell opens the entry: the amount, or the “On request” (« Sur demande ») switch.
  1. Click the cell where the route and the vehicle meet.
  2. Type the amount then Enter to confirm, or Tab to confirm and move to the next cell without leaving the keyboard. Esc cancels.
  3. For a route priced case by case, switch on On request (« Sur demande »): the quote will show this wording instead of a price.
A cell left empty means “no rate for this vehicle on this route”: the quote wizard tells you so and never creates a €0 line.

6Adding a condition (night, day, extra, discount)

Add a condition window: type, amount and label
A condition carries a type, an amount and the label shown on the quote.

A section's Condition (« Condition ») button adds a rule applied to its routes: Night (« Nuit »), Day (« Jour »), Before (« Avant ») or After (« Après ») a given time, Time condition (« Condition horaire »), Fixed extra (« Supplément fixe »), Discount % (« Remise % ») or Alternative price (« Prix alternatif »). Give the amount and an explicit label (“+€50 if motorway”, “Night surcharge 10 pm – 6 am”): it appears as is on the quote when the condition applies.

7Hourly rates (hourly hire) and driver meal

Bottom of the grid: Hourly rates card with the driver meal at €25 and the Add a rate button
Below the transfer sections, the Hourly rates card: the driver meal and your rates by the hour or as a package.
Add an hourly rate window: label and period
An hourly rate: a label (Full day, Half day, Full night…) and a period; the amounts per vehicle are then entered in the table.
  1. Scroll to the bottom of the grid to the Hourly rates (« Tarifs horaires ») card and click Add a rate (« Ajouter un tarif »).
  2. Give a label (“Full day”, “Full night”…, it appears as is on the quote) and the period covered (day, night or either), then Add (« Ajouter »). The row appears in the table: enter the amount for each vehicle type as you would for a transfer. Duplicate a row to create a variant.
  3. The driver meal (the card's Edit (« Modifier ») button) sets the rate per meal and the conditions under which it applies, for example “from 6 hours of service”. It can be applied to all your grids at once.

In the quote wizard, an hourly hire uses these rates according to the number of day and night hours, and adds the driver meal when its conditions are met.

8Seasons and events

Add a season / event window: name, type, colour, start and end date
A season: a name, a type (high season, event…), a colour and dates.
  1. In Rates, Seasons & Events (« Saisons & Événements ») block, click Add (« Ajouter »).
  2. Name the season (“Summer high season 2026”, “Monaco Grand Prix”), choose its type, colour and dates, then Add.
  3. Then open each grid: the Create a season (« Créer une saison ») button in the header lets you enter prices specific to that period, for transfers as well as hourly hires.

When creating a quote, the date of each service automatically determines the prices applied: season price if the date falls within it, base price otherwise.

9Editing the grid and attaching it to contacts

Edit grid window: name, rate type, currency, driver meal rate, validity, grid active, notes
Edit: name, type, currency, driver meal, validity and notes.
Attached contacts window: tick boxes per agency (with its commission) and per client
Attached contacts: tick the agencies and clients that use this grid.

The Edit (« Modifier ») button (grid header) changes its name, type, currency, validity or deactivates it. The Contacts (« Contacts ») button opens the list of your agencies and clients: tick those this grid applies to. When creating a quote “via an agency” or “via a client”, these are the grids offered.

The Export (« Exporter ») button produces an Excel file of the full grid (sections, rows, seasons, hourly hires) that you can share or rework.

Quote template, cancellation, waiting time

Three Settings (« Paramètres ») screens that shape the document sent to your clients. Each shows a preview of the quote updated in real time.

1The quote template

Quote settings page: header colours, introduction in French and in English, sections and order, phone preview
Quote template: header, FR / EN texts, sections you can enable and reorder, preview on the right.
  1. Open Settings → Quote template (« Paramètres → Modèle de devis »).
  2. Quote header (« En-tête du devis »): choose the background colour and the text colour of the top band (or Default (« Défaut ») to return to your brand colours).
  3. Introduction (« Introduction »): write the welcome text in French and in English; the quote uses the language chosen when it is created.
  4. Sections & order (« Sections & ordre »): enable or hide Transfers, Hourly hire, Included waiting time, Cancellation policy, Flight delay… and drag and drop the handles to change their order. Sections marked Auto are filled from your settings, Text (« Texte ») sections from your texts.
  5. Closing / Signature (« Conclusion / Signature »): your closing line and your signature, in French and in English.
  6. Check the preview (switch between French and English), then Save (« Enregistrer »).

2Cancellation terms

Cancellation terms page: text of the terms in FR / EN with formatting, position in the quote, rules by time band
Cancellation terms: the text, its position in the quote and the tiers by time band.
  1. Open Settings → Cancellation terms (« Paramètres → Conditions d'annulation »).
  2. Text of the general terms (« Texte des conditions générales »): write it in French and in English. The buttons on the small bar set italics, bold or a list (you can also type *text* and **text**).
  3. Position in the quote (« Position dans le devis »): in the footer, after the content, or on a dedicated page at the end.
  4. Rules by time band (« Règles par tranche horaire »): click Add (« Ajouter ») to define a tier (notice before pick-up and percentage retained), for example 100% under 24 h. Tick Apply to all vehicle types (« Appliquer à tous les types de véhicules ») or limit the tier to certain types.
  5. Save (« Enregistrer »). The scale appears automatically on every quote.

3Included waiting time

Waiting time page: Hotel / Chalet, Airport private flight, Airport commercial flight, Station places with free minutes and hourly or custom rate
Waiting time: for each type of place, the minutes included then the rate applied beyond them.
  1. Open Settings → Waiting time (« Paramètres → Temps d'attente »). These rules apply to transfers only.
  2. Enable the relevant places: Hotel / Chalet (« Hôtel / Chalet »), Airport — private flight (« Aéroport — vol privé »), Airport — commercial flight (« Aéroport — vol commercial »), Station (« Gare »).
  3. For each, enter the free waiting minutes, then choose Hourly rate (« Tarif horaire », your grid's hourly rates apply beyond them) or Custom (« Personnalisé ») to enter a specific rate.
  4. Save. The “Included waiting time” section of the quote uses these values.

Application design

Your logo and your colour apply to your whole workspace, to the login page and to the header of your quotes.

1Logo, brand colour and rounding

Application design page: logo, palette of twelve shades, custom shade, light and dark preview, component rounding
Design: logo, palette or custom shade, light and dark preview, component rounding. Everything is saved automatically.
  1. Open Settings → Application design (« Paramètres → Design de l'application »).
  2. Company logo (« Logo de l'entreprise »): click Choose a file (« Choisir un fichier », PNG, JPG, SVG or WebP, 2 MB maximum, transparent background recommended). It is shown in the menu, on the login page and in the header of every quote.
  3. Your brand colour (« Couleur de votre marque »): pick one of the twelve shades of the palette, or set your own shade with the Hue (« Teinte ») and Depth (« Profondeur ») sliders, or enter a colour code (#RRGGBB format). It colours the buttons, the links and the active menu entry.
  4. The interface preview shows the result in the light theme and in the dark theme; Movyx adjusts the colour so that text stays readable in both.
  5. Component rounding (« Arrondi des composants »): None, Slight, Medium or Large for buttons, cards and badges.
Every change is saved as soon as you make it (« Auto-save » label) and applied to your whole workspace, for all your users.

Agencies & clients

Your principals. A partner agency earns a commission on every quote; a direct client books with you without an intermediary. Both can have their own grids and rules.

1The Agencies & Clients page

Agencies & Clients page: Partner agencies block with the Add an agency button, Direct clients block with Add a client, list of agencies with commission and grids
Two address books: agencies (with their commission) and direct clients (including VIPs). An add button for each.

Open Clients → Agencies & clients (« Clients → Agences & clients »). Click the Partner agencies (« Agences partenaires ») or Direct clients (« Clients directs ») block to show the matching list; the search filters by name, contact or email. On each row: the arrow opens the record, the pencil edits, the bin deletes.

2Adding an agency

New agency form: name, main contact (title, first name, last name, email, phone), commission, status, associated grids, internal notes
New agency: its main contact, its commission and the grids it uses.
  1. Click Add an agency (« Ajouter une agence »).
  2. Fill in the agency name (required), then its main contact: title, first name, last name, email and phone (country dial code then number).
  3. Enter its commission (%). On every quote placed through this agency, Movyx calculates the commission and deducts it from your grid's rate; the quote shows the agency's share, line by line and on the total.
  4. Tick the associated pricing grids, add internal notes if needed, then Save (« Enregistrer »).

3Adding a direct client

New client form: title, full name, company, email, phone, country, associated grids, notes, VIP client, status
New client: contact details, company, country, dedicated grids and VIP status.
  1. Click Add a client (« Ajouter un client »).
  2. Fill in the title, full name (required), company, email, phone and country.
  3. Tick the associated pricing grids to apply dedicated rates, note their preferences (driver instructions, special terms), switch on VIP if appropriate, then Save.

4An agency's or a client's record

Record of the Kensington Concierge agency: Information, Pricing grids, Specific rules, Quotes tabs
The record: four tabs, including the contact's quote history (a fifth, Preferences, on a client's record).
  • Information (« Informations »): contact details and main contact. Edit (« Modifier », at the top right or below the card) reopens the pre-filled form.
  • Pricing grids (« Grilles tarifaires »): the associated grids; Manage grids (« Gérer les grilles ») lets you add or remove some.
  • Specific rules (« Règles spécifiques »): the discounts, surcharges and terms specific to this contact (next step).
  • Quotes (« Devis »): every quote created for this contact, with its status.
  • Preferences (« Préférences », client record): their preferred driver or one to avoid, their vehicles and their preferences, entered in the CRM.
Pricing grids tab of an agency, Manage grids and Associate grids buttons
Pricing grids tab: associate here the grids offered for this contact in the quote wizard.

5Adding a specific pricing rule

Add a rule form: rule type, value, vehicle type, grid, departure and destination cities, season, priority, validity, notes, status
A rule: its type and its value, then the context in which it applies (vehicle, grid, cities, season, dates).
  1. On the record, Specific rules (« Règles spécifiques ») tab, click Add a rule (« Ajouter une règle »).
  2. Choose the rule type: Discount % (« Remise % »), Surcharge % (« Majoration % »), Fixed discount (€) (« Remise fixe »), Fixed surcharge (€) (« Majoration fixe »), Free waiting (« Attente offerte »), Luggage included (« Bagages inclus ») or Special condition (« Condition spéciale »), and its value.
  3. If needed, restrict it to a vehicle type, a grid, a departure or destination city, a season, a validity period. The priority (0 to 100) decides between two rules that would apply at the same time.
  4. Describe it in Notes, leave it Active (« Active »), then Save.

These rules take precedence over the grid's prices when calculating this contact's quotes; the quote keeps the rules as they were when it was created.

6Deleting a contact

From the list, the bin deletes the agency or the client after confirmation. Their quotes already created are kept; their record is no longer offered in the wizard.

Quotes

Create a quote in five steps, send it, track the reply. The price always comes from your grids: you never enter an amount by hand.

1The list of quotes

Quotes page: Total, Drafts, Sent, Accepted, Acceptance rate counters, filters by status, table of quotes with grid, language, vehicles, total and status
Quotes: the counters, the filters by status and the list. The status is changed directly in the Status column.

The Quotes (« Devis ») page shows your counters (total, drafts, sent, accepted, acceptance rate) then the list, filterable by status and sortable (Most recent (« Plus récents ») by default). Each row shows the number, the grid used, the language, the number of vehicles and the total. A click on the row opens the quote; a click on the status badge changes it without leaving the list.

DraftSentAcceptedDeclinedExpired

2Step 1 — choosing the grid, the agency or the client

New quote wizard, step 1 Pricing grid: Rate grid, Via an agency, Via a client tabs, and the list of grids
Step 1: the grid that sets the prices, directly or through an agency or a client.
  1. Click Create a quote (« Créer un devis », menu) or New quote (« Nouveau devis », at the top of the list).
  2. Rate grid (« Grille de tarifs »): choose a grid from the list. Via an agency (« Via une agence ») or Via a client (« Via un client »): choose the contact, then one of the grids attached to them; their commission and specific rules will apply.
  3. Click Choose the vehicles (« Choisir les véhicules »).

3Step 2 — selecting the vehicles

Wizard, step 2 Vehicles: six vehicle types to tick, All and None buttons
Step 2: tick the vehicles to offer. Each becomes a price line in the quote.

Click one or more vehicle types (or All, « Tous »). The number of passengers for each type is shown as a reminder. Then Enter the routes (« Saisir les trajets »).

The quote total adds up the lines of every vehicle offered: if you offer a choice of three vehicles, say so in your introduction text, or create one quote per vehicle.

4Step 3 — transfers and hourly hires

Wizard, step 3: outbound transfer Paris to Paris-Orly Airport on 05/10/2026 at 09:30, price shown per vehicle, + Return button
Step 3: as soon as departure, arrival and date are entered, each vehicle's price appears below the transfer.
  1. In Transfers (« Transferts »), click in Departure (« Départ ») and type a city, a place or an IATA code: choose from the list. Do the same for Arrival (« Arrivée »).
  2. Fill in the date and, if you know it, the pick-up time. Each vehicle's price appears straight away, season and conditions included; a vehicle with no rate on this route is flagged.
  3. + Return (« + Retour ») adds the reverse route on another date; Add a transfer (« Ajouter un transfert ») adds an independent route.
  4. For an hourly hire, click Add an hourly hire (« Ajouter une mise à disposition »): day and night hours, number of days, driver meal. The grid's hourly hire rates apply.
  5. Click Quote options (« Options du devis »). The button stays locked while a transfer is incomplete or a selected vehicle has no rate: remove it or fill in the grid.

5Step 4 — options, then step 5 — summary

Wizard, step 4 Options: quote language French or English, vehicle photos, internal note
Step 4: the language, the vehicle photos and an internal note.
Wizard, step 5 Summary: source, vehicles, transfers, language, Create the quote button
Step 5: read it through, then Create the quote.
  1. Quote language (« Langue du devis »): French or English. The introduction and closing texts and the terms are taken in the chosen language.
  2. Vehicle photos (« Photos des véhicules », if the Vehicles module is active): tick the photos to attach to the quote.
  3. Add an internal note (« Ajouter une note interne »): a memo visible only to your team, never to the client.
  4. Click Summary (« Récapitulatif »), check the source, the vehicles, the services and the language, then Create the quote (« Créer le devis »).

6The quote page: send, print, change the status

Page of a quote: Quote status Accepted banner, document with a header in the company colours, services per vehicle, total
The created quote: the status at the top, then the document as the client receives it.
Bottom of a quote page: cancellation terms, flight delay policy, Copy text, Print / Save as PDF, Send by email, Send by WhatsApp, Duplicate, Delete buttons
Below the document: the sending actions, duplication and deletion.
  • Quote status (« Statut du devis », top banner): Draft, Sent, Accepted, Declined. Mark it Sent (« Envoyé ») once the client has received it, then Accepted (« Accepté ») or Declined (« Refusé ») according to their reply: this is what feeds your acceptance rate and your revenue. A sent quote with no reply by the end of its validity becomes Expired (« Expiré »).
  • Copy text (« Copier le texte »): copies the quote as plain text, to paste into an email or a messaging app.
  • Print / Save as PDF (« Imprimer / Enregistrer PDF »): opens your browser's print dialogue; choose “Save as PDF” to get the file.
  • Send by email (« Envoyer par e-mail »): opens your email client with the quote pre-filled. Send by WhatsApp (« Envoyer par WhatsApp »): opens WhatsApp with the quote text.
  • Duplicate (« Dupliquer »): starts again from this quote in the wizard, for a variant or a new client. Delete (« Supprimer », bin): after confirmation.

The Complete your quote (« Complétez votre devis ») banner appears as long as an element of the document is empty (logo, closing…) and takes you to the right setting.

Dashboard

Your home page: the month's figures, quoted activity and whatever is waiting for an action from you, without scrolling.

Movyx dashboard: month's indicators, Quoted revenue chart, Analytics block, To follow up list
An administrator's dashboard: indicators, quoted revenue, analytics and quotes to follow up.

1The month's indicators

  • Accepted revenue (« CA accepté »): amount of the quotes accepted over the month, with the difference from the previous month.
  • Quotes created (« Devis créés »): number of quotes for the month and how many are still awaiting a reply.
  • Acceptance rate (« Taux d'acceptation »): quotes accepted among the quotes sent.
  • Average basket (« Panier moyen »): average amount of an accepted quote.

Above, a banner flags what is urgent: quotes with no reply for more than 7 days, services within the next 7 days, drafts to finish. The Whole team / My quotes (« Toute l'équipe / Mes devis ») buttons change the scope shown.

2Quoted revenue and analytics

Quoted revenue (« Chiffre d'affaires devisé ») stacks, month by month, the amounts accepted, pending and declined (over 3, 6 or 12 months), then the number and amount of quotes by status. Analytics (« Analyses ») shows what your clients ask for most: routes, vehicles, clients, fleet and, for an administrator, the team's activity, as well as the share of transfers and hourly hires.

3Dealing with quotes to follow up

The To follow up (« À suivre ») block lists quotes to chase, upcoming services and drafts. The ✓ and ✕ buttons mark a pending quote as accepted or declined directly from the list. All quotes (« Tous les devis ») opens the full list.

The dashboard adapts to the role: a Dispatch or User account sees its upcoming services and its quotes to chase; a driver lands directly on their planning.

CRM: client preferences and agency partnerships

Included in your plan, no activation needed

What each client prefers and what you have agreed with each agency, on a single page: Clients → Preferences & partnerships (« Clients → Préférences & partenariats »). One card per client or agency; the search also finds a driver or a contact.

1A client's preferences

CRM page: All, Clients, Agencies and VIP filters; client cards with most-requested routes, preferred driver and driver to avoid, vehicles and preferences
One card per client: their routes, their drivers, their vehicles and their preferences.
  • Most-requested routes (« Trajets les plus demandés »): their three most frequent routes, worked out from their quotes (a return counts along with the outbound leg). Nothing to enter.
  • Drivers (« Chauffeurs »): the driver they prefer and the one not to send them. If you use the Drivers module, the names of your team are suggested as you type.
  • Vehicles (« Véhicules »): for each category (or vehicle in your fleet), Usual (« Habituel »), Assigned (« Attitré ») or Refused (« Refusé »), with a note if needed. The Quoted (« Devisés ») line reminds you which vehicles were actually offered in their quotes.
  • Preferences (« Préférences »): language spoken, meet & greet sign, child seat, and a free-text field for what matters on board (water, newspapers, temperature, music, discretion…).
Client Preferences window: preferred driver, driver to avoid, language spoken, meet & greet sign, child seat, on-board preferences
Edit (« Modifier », on Drivers or Preferences) opens the same window.

The same preferences can be read again in the Preferences tab of the client record.

2An agency's partnership

Agency Partnership window: commission, partnership start date, contact from the record, other contacts, linked pricing grids
Partnership: commission, start date, contacts and pricing grids, in a single window.
  • Commission (« Commission »): the percentage deducted from the total of their quotes (never added).
  • Partner since (« Partenaire depuis »): the partnership start date, with how long it has been running.
  • Linked pricing grids (« Grilles associées »): the grids offered for this agency in the quote wizard.
  • Main contacts (« Contacts principaux »): the contact from the agency record, plus up to six other names.
The commission and the grids decide the prices: only profiles that manage settings (administrator, dispatch) can change them, here as on the agency record.

Job planning

Included in your plan, no activation needed

The dispatch board for your transfers and hourly hires: Job planning (« Planning missions ») in the side menu. One line per job, with its rate, its vehicle and its live status.

1Add a job

Job planning: step timeline, today's jobs with times, client, passengers, route, vehicle, rate and status
The planning: one line per job, its rate taken from your pricing grids and its live status.
  1. Click the + button at the bottom right: an entry line opens in the table.
  2. Only the date is required. Times, client or agency, passenger, pick-up, drop-off, flight and vehicle can be filled in later.
  3. Click Save (« Enregistrer »): the job takes its place in the day, and a new line opens for the next one.

Accepted quotes appear in the Quotes to schedule (« Devis à planifier ») banner: one click pre-fills the line, quote amount included. Any value in the table can be changed with a click, right in its cell.

2The automatic rate

As soon as the pick-up, drop-off and vehicle are filled in (or the start and end times of an hourly hire), the rate from your pricing grids goes into the price field, along with the grid and route used. The client's or agency's grid applies, with its rules; otherwise, your public grid.

  • If the route, the vehicle or the time changes, the rate follows.
  • An amount typed by hand, or taken from a quote, is never recalculated. Clear the field to go back to the rate from your grids.
  • A place that is not among your cities and places has no rate: the planning tells you so. Add it in Settings → Cities & places (« Paramètres → Villes & lieux »).

3The meet & greet sign

Meet & greet sign: company name, then the passenger's name in very large type, with the Full screen, Print and Image buttons
The sign the driver holds up when their client arrives.

Open it from the job's menu or its details window. It shows your logo and the passenger's (or client's) name; in the details window, you can change the text, over three lines, or hide the logo. It displays full screen, prints on A4 or saves as an image.

The driver receives the sign as an image with their job e-mail and finds it again in My jobs (« Mes missions »), full screen.

4Drivers and vehicles

With the Drivers module, you assign a driver according to their availability (absences, other jobs, hours and rest); they accept the job and move its status forward from their phone: on the way, on site, client on board, dropped off. With the Vehicles module, you pick the exact vehicle, fleet downtime included.

Drivers

Your drivers' records, their documents and expiry dates, their absences and leave, their hours, their fines, the HR space and the team dashboard.

1The driver list

Drivers page: Add a driver, Planning, Flat rates, HR space and HR dashboard buttons; counters; compliance chart for mandatory documents; driver cards
Drivers: the headcount, compliance of licences, VTC cards and medical check-ups, then one card per driver.

Drivers → All drivers (« Chauffeurs → Tous les chauffeurs »): the counters (active headcount, absent today, documents to renew, open fines, overtime this month), the mandatory document compliance chart (expired, within 30 days, valid, not provided) and the driver cards with their upcoming absences and open fines. The buttons at the top lead to the absence planning, the route flat rates, the HR space and the HR dashboard.

2Add a driver

  3. Create the driver (« Créer le chauffeur »): they are created with the status Active; complete their record afterwards.
For a driver to access their own workspace (planning, documents, hours), invite them with the Driver role from Team using the same e-mail address: their account is linked to their record.

3Complete a driver's record

A driver's record: header with hours this month, fines, attached documents and upcoming absence; Profile, Documents, Hours & absences, Fines, Equipment and Disciplinary tabs; Identity and Contact details form
The record: identity, contact details, licence, VTC card, medical check-up and contract in the Profile tab.

The Profile (« Profil ») tab gathers identity (title, first name, last name, date of birth, hire date, status), contact details (phone, e-mail, address), then qualifications: licence number and validity, VTC professional card number and validity, medical check-up validity, contract type and end date. Click Save the record (« Enregistrer la fiche »). These dates feed the compliance chart, the renewal schedule and the bell alerts.

The Archive (« Archiver ») button removes the driver from the active headcount while keeping their history (absences, fines, documents).

4Documents, hours, fines, equipment

A driver's Documents tab: attached documents (licence, VTC card, ID) with their expiry date, Import button, Signatures block
Documents tab: the driver's attached documents with their expiry date, and the signatures to collect.
A driver's Hours & absences tab: hours worked today, this month and this year, Flat rates and Add buttons, recent absences and leave
Hours & absences tab: the declared hours awaiting validation and the driver's recent absences.
  • Documents (« Documents »): import a document (ID card / passport, licence, VTC card, employment contract, other) with its title, its reference, its issue and expiry dates and the file (PDF, JPG or PNG, 8 MB maximum). An orange badge (N days, « N jours ») or a red one (Expired, « Expiré ») appears as the expiry date approaches.
  • Hours & absences (« Heures & absences »): the hours declared by the driver from their workspace, to be validated; hours beyond the thresholds of their contract count as overtime. Their past and upcoming absences are listed here too.
  • Fines (« Amendes »): Add (« Ajouter ») a fine with the designation document, the date, the amount, the offence, the place and a reference. The status (received, designated, paid, contested, cancelled) is changed directly in the list.
  • Equipment (« Équipements »): the items entrusted to them (uniform, phone, badge…) with the hand-over date and the return.
  • Disciplinary (« Disciplinaire »): warnings and sanctions, with their attachment.

5Absences & leave: the planning

Absences & leave in Calendar view: pending requests with Approve and Refuse, legend of absence types, the month of September with absences coloured by driver
Calendar view: pending requests at the top, then the month with one colour per absence type.
Absences & leave in Matrix view: one row per driver, one column per day of the month
Matrix view: one row per driver, to see at a glance who is available.

Drivers → Absences & leave (« Chauffeurs → Absences & congés »). Switch between Calendar (« Calendrier ») and Matrix (« Matrice »), move from month to month. Six absence types: Rest day, Paid leave, Sick leave, Unavailable, Training, Personal leave (« Repos, Congés payés, Maladie, Indisponible, Formation, Congé perso »).

6Add an absence, recurring days off, several absences at once

Add an absence window: driver, absence type, from and to dates, full day, morning or afternoon, note
Add an absence: driver, type, dates and optional half-day.
Recurring days off window: driver, rest day, days of the week, period, Until the end of the year shortcut
Recurring days off: the same days every week over a period.
  1. One-off absence: click an empty cell in the calendar, choose the driver, the type, the dates and the period (full day, morning or afternoon), then Save (« Enregistrer »).
  2. Recurring days off (« Jours OFF récurrents », button at the top right): choose the driver, the days of the week (for example Wednesday and Thursday) and the period, or Until the end of the year (« Jusqu'à la fin de l'année »), then Generate days off (« Générer les jours OFF »). These are always rest days, starting from today: days already set are kept, never replaced. A driver who takes "every Wednesday" and then, two months later, adds "every Monday" keeps their Wednesdays.
  3. Several absences at once: in Matrix view, select cells by dragging, then click Assign (« Assigner »).
Absences you create yourself are approved automatically. Only requests sent by a driver from their workspace wait for your decision.

7Approve or refuse a leave request

The Pending requests (« Demandes en attente ») panel at the top of the planning lists the drivers' requests. Click Approve (« Valider ») or Refuse (« Refuser », a reason can be entered), or Approve all (« Tout valider »). The driver is informed by e-mail and by notification. A badge on the menu entry shows the number of pending requests.

8HR space: signatures, company documents, meeting minutes

HR space: Pending signatures, Company documents and Meeting minutes counters; Signature requests, HR documents and Minutes tabs; New request button
The HR space: what you share with your drivers and what they have to sign.
New signature request window: category, title, document to sign, recipients all active drivers or one driver, note
A signature request: the document (internal rules, memo…) and its recipients.
  1. Signature requests (« Demandes de signature »): click New request (« Nouvelle demande »), choose the category (internal rules, memo…), the title, upload the document or let the request cover the title alone, choose All active drivers (« Tous les chauffeurs actifs ») or one driver, add a note and Send the request (« Envoyer la demande »). Each driver signs from their workspace; you track who has signed.
  2. HR documents (« Documents RH »): the library of company documents shared with the drivers (viewable from their workspace).
  3. Minutes (« Comptes rendus »): meeting or interview minutes, with the driver's signature and printing.

9HR dashboard and route flat rates

HR dashboard: to handle first, active headcount, available and absent today, expired documents, renewals within 30 days, medical check-ups, pending fines and signatures, team availability over 30 days, renewal schedule
The HR dashboard: what needs handling, team availability over 30 days and the renewal schedule.

HR dashboard (« Tableau de bord RH ») sums up the state of the team: to handle first, headcount, available and absent today, documents expired or due for renewal within 30 days, medical check-ups, pending fines and signatures, then the 30-day availability curve and the renewal schedule (licence, VTC card, medical check-up, contract end) month by month.

Route flat rates page: Start from a pricing grid or Create from scratch
Route flat rates: a flat number of hours per route, used in the drivers' hour declarations.

Route flat rates (« Forfaits trajets ») sets, for each of your routes, a flat number of hours shared by all drivers: start from one of your grids (the routes are carried over, adjust them line by line) or create the list from scratch. When a driver declares their hours, they pick the route and the flat rate applies.

A driver's workspace

A user invited with the Driver role sees only their own workspace: planning, hours, documents, fines, signatures, notifications and profile. They see neither the other drivers, nor the quotes, nor the rates.

1My planning and requesting leave

Driver workspace, My planning: calendar of the month with their leave and rest days, Request leave button, My requests list with their status
My planning: the driver's month, their requests and their status (approved, pending, refused).

  2. They choose the type (Rest day, Paid leave, Sick leave, Personal leave), the dates, a full day or a half-day, an optional note, then Send the request (« Envoyer la demande »).
  3. The request appears as Awaiting approval (« En attente de validation ») in their calendar and in My requests (« Mes demandes »); they can cancel it as long as it has not been processed. They are informed as soon as the manager approves or refuses it.

2Declaring hours

Declare hours window: date, flat-rate route or manual entry, hours, note
Declare hours: a date, a flat-rate route or a number of hours entered by hand, a note.

In My hours (« Mes heures »), the driver sees their totals (today, this month, this year) and clicks Declare hours (« Déclarer des heures »): the date, a flat-rate route (the flat rate applies) or a manual entry of the number of hours, a note, then Send the declaration (« Envoyer la déclaration »). Each declaration stays "to be validated" until the manager validates it on the driver's record.

3Documents, fines, signatures, notifications

Driver workspace, My documents: driving licence, VTC professional card, ID with their expiry date
My documents: the documents in the driver's record and their expiry date.

1The fleet

Vehicles page: expired roadworthiness test alert, counters for vehicles in the fleet, in service, off the road today, expiry dates to watch, filters, vehicle cards
The fleet: one alert per expired document, the counters, then one card per vehicle.

The Off the road status is applied automatically during recorded downtime (step 7), with no action on your part.

4Documents: registration certificate, roadworthiness test, insurance

A vehicle's Documents tab: three cards Registration certificate, Roadworthiness test, Insurance with current version, expiry date, D-15, D-10 and D-3 reminders and New version button

  2. Enter the reference (certificate, test report or contract number), the issue and expiry dates and the file (PDF, JPG or PNG, 8 MB maximum).
  3. The most recent version becomes the current version; earlier ones remain available to view.

Movyx reminds you at D-15, D-10 and D-3 before the expiry date, then every day once the date is reached, in the bell and by e-mail according to your notification settings.

5Report damage

Report damage window: title, area, severity, status, cost, noticed on, photo or accident report, description
Report damage: where, how severe, which status, at what cost, with a photo.
  1. Damage (« Dégâts ») tab, click Report (« Déclarer »).
  2. During the period, the vehicle is shown as Off the road in the fleet and a notification is sent the day before.

8Remove a vehicle from the fleet

Irreversible action: removing a vehicle also deletes its documents, its damage, its inspection reports and its downtime.

On the record, Record tab, click Remove from fleet (« Retirer du parc ») then confirm. To keep the history without seeing it in the active fleet, set its status to Out of fleet (« Hors parc ») instead.

1The Team page

Team page: banner with seats used and covered, list of members with their role and the edit, deactivate, reset and delete actions

DispatchAll the team's quotes, plus the planning, drivers, vehicles, clients, rates and setup.
AdministratorEverything, including the team, the app's design, modules and billing.
DriverOnly their own workspace: jobs, planning, leave requests, hours, documents, fines, signatures. An invited driver can only be given a job once their account is activated.
Your plan includes a number of seats; each additional seat is billed €9 incl. VAT per month, pro rata from the day it is added. Deactivating an account does not free its seat: delete it to free the seat, which is removed at the next renewal date.

3Change the role or remove access

Edit opens the member's record: change their role and Save (« Enregistrer »); the change applies from their next action. Deactivate access blocks login while keeping the history and the seat. Delete removes the account and frees the seat.

Modules & billing

Activate the modules you need and keep track of your subscription and your invoices.

1Activate a module

Drivers and Vehicles are kept separate to fit your setup: an independent driver activates only Vehicles for their vehicle, or neither; a company adds Drivers for its team, with or without Vehicles.
The CRM (Agencies & clients, Preferences & partnerships) and the Job planning are included in your plan and need no activation.

2Subscription, seats and invoices

Billing page: My Movyx plan with its amount incl. VAT per month, additional users, total paid, pending, next renewal date, invoice history

FAQ

The most frequently asked questions.

Why is the Create a quote (« Créer un devis ») button locked?

It unlocks once the four essential steps are done: at least one active vehicle type, a city or a place, a pricing grid and a contact. The gauge on the Settings page shows what is missing.

What is the difference between a net rate and a public rate?

It is a way of classifying your grids: net for your partners, public for your direct clientele. The quote always shows the grid rate as it is; an agency's commission is deducted from that amount, never added.

A vehicle does not appear in my quote, or the Quote options (« Options du devis ») button stays locked.

The vehicle has no rate for this route in the chosen grid: the cell is empty. Fill it in (or enable On request, « Sur demande »), or remove this vehicle from the quote.

Can I have different rates depending on the season?

Yes. Create your seasons and events from the Pricing (« Tarifs ») page; each grid can carry its own prices for each season, for transfers as well as hourly hires. The date of the service automatically selects the price.

How do I apply a special rate to an agency or a client?

From their record: link them to a dedicated grid (Pricing grids tab, « Grilles tarifaires ») or add a specific rule (discount, surcharge, waiting time included…) in the Specific rules (« Règles spécifiques ») tab.

Who sets up my rates?

Rate setup is included: the Movyx team sets them up with you when you start. You then change them directly in your grids (Pricing grids section).

Does the CRM cost extra?

No. Agencies & clients and Preferences & partnerships are included in the Movyx plan.

Does the job planning cost extra?

No, it is included in the Movyx plan, with no activation. Assigning drivers and vehicles relies on the Drivers and Vehicles modules when they are activated.

Can a driver see quotes or rates?

No. The Driver role only gives access to their own workspace: planning, leave requests, hours, documents, fines, signatures and notifications.

Does the dark theme apply to the whole team?

No, it is a personal setting remembered on your device (sun / moon button in the top bar). The brand colour and the logo, on the other hand, apply to the whole workspace.

Is my data isolated from other companies?
